Job Context

  • Duration of the position is One Year.
  • Based in Teknaf, the Office Assistant will be responsible to open and close the office, assist to ensure logistic support, operate petty cash/cash fund, ensure proper cleaning desks and office premises, keep conference rooms ready all the time, assist Admin for receiving purchased materials and equipments, provide support services to expatriate of Plan Bangladesh.

Job Description / Responsibility

  • Office premises is opened and closed timely.
  • Maintenance and security monitoring checklist (including generator) followed.
  • Standard hygiene practice is followed and maintained.
  • Periodic requisition for store is prepared at least 7 days before the established date and submitted to AC; store is maintained as per agreed procedure and register is found updated at any time.
  • Meeting room is arranged and equipped as per instruction on the day before the event or as per instruction.
  • Received mails are distributed within the same day to concerned persons; outgoing mails are dispatched on daily basis maintaining register.
  • Bills deposited, bank activities are carried out per instruction (utility bills within the same day of handing over by AO).
  • Ensure photocopy, scanning, serve snacks for meeting/ workshop as needed.
  • Ensure petty cash purchasing for office stationary, snacks/ food etc as and when necessary.
  • Cash fund are operated as per plan policies; daily reconciliation is done and report is counter signed by supervisor/appropriate person
  • Any concern related to a bills/invoice/payment request is brought to the notice of supervisor with the same day of receiving the same
  • Supervisor is updated on the liquidity status of cash fund on regular basis
  • Cash fund is reconciled every day and maintained under the guidance of supervisor.

Educational Requirements

HSC passed from any recognized college.

Job Requirements

  • Fluency in English and Bangla (both reading and writing), Chittagong language and or Burmese.
  • Good knowledge and understanding of humanitarian principles and established international child protection minimum standards.
  • At least 2 years working experience in similar position preferably in large NGO/INGO.
  • Effectively analyzes information and provides effective and quality assured solutions.
  • Demonstrate an understanding on the statutory issues for programs and operations of INGOs in Bangladesh and remains updated on the requirements of NGO Affairs Bureau and its implication in the operations Plan’s program in Bangladesh.
  • Knowledge and understanding on the rules and requirements of overseas travels from and to Bangladesh and ability to handle overseas travel, passport, visa, ticket, insurance and coordination with offices in overseas.
  • Understands and uses different technological resources (computer, multimedia, internet, software).
  • Establishes good relationships with stakeholders; works cooperatively with other units, maintains networks outside the organization.
